Meetings, Incentives, Conferences, and Exhibitions (MICE)

As Namibia positions itself as a competitive destination for Meetings, Incentives, Conferences, and Exhibitions (MICE), we are pleased to inform you that the Ministry of Home Affairs, Immigration, Safety and Security (MHAISS) has officially rolled out the MICE e-Visa, designed to streamline visa issuance for MICE-related events with more than 10 international delegates. The process is outlined below.

The event convener must inform the Namibia Convention Bureau (NCB) via micevisa@nipdb.com of the upcoming event by furnishing a letterMaddressed to the Executive Director: Ministry of Home Affairs, Safety and Security, Windhoek, Namibia. Please note that the NCB must be informed of the MICE Event at least 2 months in advance to ensure that all necessary
processes are completed on time.
The letter should include:
1. Event description: Provide a concise summary outlining the purpose, format, and target audience.
2. Event venue and dates: Specify the scheduled start and end dates of the event.
3. Number of expected delegates: Indicate the estimated number of international and local participants expected to attend.
4. Request for visa facilitation: Clearly state the request for visa support, particularly to ensure the smooth entry of attendees through the MICE Visa portal.
5. Credibility of the organiser: Include background information such as the organisation’s company name, history, and experience in hosting
similar events; evidence of past successful MICE events (including the number of participants and locations); affiliations with reputable regional or international bodies, if applicable
6. Contact person responsible for the event: Provide full contact details and email address.

●Confirmation that delegates have registered for the event with the following information:
(a) First Names
(b) Last Name/Surname
(c) Date of Birth
(d) Passport number
(e) Nationality
(f) Purpose of Visit: (participant, presenter, facilitator, exhibitor, resource
person, organizer, or *media/journalist)
● Media/Journalist - All foreign media must obtain an accreditation letter from
the Namibia Ministry of Information and Communication Technology (MICT).

The convener must submit the group list of international media/journalists with the following required documents via email to micevisa@nipdb.com
1. Copy of Media/Journalist identity card.
2. Copy of passport.
3. Recommendation letter from media house or convener.
● Do not alter the format of the template.
● All fields must be completed.
● "Purpose of Visit" must be one of the following

● Email the completed template to: micevisa@nipdb.com

● The convener will receive a unique Event Code once the list is uploaded.
● The convener is to share this code with all attendees as per the completed Excel template submitted. The organiser and event participants are strictly
instructed not to share the code with anyone who is not included on the
submitted list.
● Attendees who are not on the submitted template will not be able to apply for
the mice visa.

● Attendees use the code to apply via:

● Applicants must have the following documents to upload to the system:
1. Passport Photo (maximum size of 300KB)
2. Copy of Passport (in PDF format, maximum size 2MB)
● The MICE Visa fee is N$1600 for all delegates and must be paid electronically once the application is approved.
● The system will automatically filter out applicants from countries where a visa is not required for their specific category of entry.

Applicants will receive the issued visa via email. Turnaround times will be between 1–3 working days for general participants, and 1–5 working days for delegates attending in
a work capacity (such as presenters, facilitators, exhibitors, and media). Delegates
should ensure that they follow all system prompts to avoid delays.
